Open door practice in the workplace

Introduction
​The purpose of this open-door in the workplace is to encourage open communication, feedback, and discussion about any matter of importance to the employee. 
​By listening to its employees, companies can improve, to address complaints, and to enhance employee understanding of the rationale for practices, processes and decisions that are taken by the company. 
​Mangers are expected to benefit by gaining valuable insight into possible problems with existing methods, procedures, and approaches. Company employees always have the opportunity, through the open-door policy, to be heard.
What's the role of HR?
  • To ensure that all company employees are briefed on the open-door policy during the new hire orientation.
  • To ensure that all managers are kept aware of the importance of an open-door policy as all employees have the right to be heard.
What's the role of the manager?
  • To make themselves available to listen to any employee and provide any guidance or direct the employee up the chain of command.
Open-Door Guidelines
​All managers’ offices are open to every employee, as stated in the below guidelines. It means that employees are free to talk with their immediate supervisors and managers.
  • It is a fact that most problems can and should be solved in discussion with your immediate supervisor.
  • Employees are encouraged to discuss any issue he/she may have with his/her immediate supervisor first to solve a problem and the supervisor is the first in the chain of command.
  • If the employee is not satisfied with the discussion with his/her immediate supervisor, he/she may elevate the discussion with the Human Resources Manager. The Human Resources Manager will call for a joint discussion meeting with the employee and the employee’s supervisor and/or manager.
  • If the issue still not resolved to the employee’s satisfaction, the Human Resources Manager will elevate the matter to the CEO and the outcome of this decision will be considered as final. 
  • No matter how you approach your problem, complaint, or suggestion, you will find that all managers at all levels of the company are willing to listen and help bring about a solution or a clarification.
